Real-time Email Interception and Inspection

Compliance Attender for Lotus Notes is designed to intercept, inspect and manage email communications in real-time. The core of Compliance Attender is its tight integration with IBM Lotus Domino's mail rules facility, providing the ability to act on messages before they are routed. Compliance Attender is designed as a series of modules that satisfy specific business needs. Based on the modules needed and the rules that are set up, organizations can Journal, Filter, Classify and ToneCheck (i.e., analyze and respond to the emotional impact of) messages. Organizations may purchase individual modules or combine them to build email compliance management software that fits their needs.

Features

Compliance Attender for Lotus Notes is sold as a series of modules which can be combined and to create a customized compliance management software solution that suits your specific needs. Available modules include email journaling, message selection, email classification, email filtering and ToneCheck.

Overview

  • Captures email messages before the Domino mail router
  • Intercepts email from a variety of sources including: Notes clients, iNotes, external or internal SMTP servers and Domino agents
  • Incorporates unlimited use of Domino's inherent Mail Rules within the same configuration for ease of management
  • Offers the ability to control internal messages, as well as inbound and outbound mail
  • Evaluates messages against flexible, user-defined policies or restrictions
  • Centrally installed and administered

Message Selection

  • Capture messages based on many properties (e.g., addresses, content, size, etc.)
  • Use "wildcard" patterns to detect data like Social Security Numbers or recipient domains
  • Selecting addresses from the Domino Directory eases use while reducing errors
  • Ability to compare characteristics against multiple values (e.g., sender is either Bill, Connie, or Joyce)
  • Stop internal spamming by detecting a message's total delivered size (e.g., 1 MB email to 100 addresses = 100 MB total size)
  • Allow or deny messages based on custom or third-party fields
  • Easily create custom selection criteria without needing to know Notes Formula language

Journaling Module

  • Keep a copy of all or selected messages (inbound, outbound or internal)
  • Maintain different Journals for different reasons, any number per server
  • Record business reason for action on journaled messages
  • Retire (roll over) journals based on either size, time or both
  • Customize journal file names and locations with keywords
  • Choose to store journals locally on each server or centrally on a dedicated server
  • Harvest messages from existing mail stores (mail files, archives or Domino's journals) for legal holds or journal conversions

Filtering Module

  • Prevent data leakage by stopping suspect messages from being sent
  • Choose whether to send a non-delivery notification to the sender
  • Ability to keep a copy of a filtered message in a graveyard
  • Define any number of graveyards per server, organized to suit your needs
  • Retain the reason for the filtering on each graveyarded message
  • Retire (roll over) graveyards based on either size, time or both
  • Customize graveyard file names and locations with keywords

Email Classification Module

  • Automatically add or modify headers (i.e., items) on messages as they move through the email environment
  • Classify email messages based on multiple properties (e.g. address, content, size, etc.)
  • Apply simple or complex, hierarchical classification schemes
  • Act on tagged messages later, with either Sherpa Software's or third party products
  • Specify as many headers and values as needed
  • Create as many classification rules as needed to cover all possible combinations
    1. For example, messages with certain classifications may have a longer retention period or may need to be restricted from routing to external recipients

ToneCheck Module

  • Enable users to identify and correct emotionally charged sentences within email messages before they are sent
  • Prevent damaged relationships by stopping messages that exceed your organization's configured tolerance threshold
  • Use flexible, fine-grained “alert” and “block” settings to refine and enforce the organization's Tone Policy

Compliance Attender was designed to be as non-invasive as possible. It is a Domino-based product that does not require any additional hardware or software components.
