Rockwell Collins Archives and Manages Email Communications with Sherpa Software’s Mail Attender® for Lotus Notes
Pittsburgh, PA, March 15, 2007 – Sherpa Software today announced that Rockwell Collins, a worldwide leader in the design, production and support of communication and aviation electronics, uses Sherpa Software’s Mail Attender for Lotus Notes to manage compliance and record retention requirements for locations (or offices) across the United States.
As part of Rockwell Collins’ overall records retention strategy, email was selected as the first area to focus the effort and a formal RFP was sent out to the Archiving and Records Management market in search of a suitable solution. Mail Attender was installed and allowed Rockwell Collins to reduce the amount of stored data by nearly 30 percent in two months.
In order to define how information was to be archived and for what retention lengths, Rockwell Collins conducted intensive interviews across the company to determine which departments within the company required what types of retention periods. Based on those interviews, a sophisticated categorization method was established that included over 400 record series classifications. Depending on the assigned categorization, emails would then be moved to an archive, retained in the mailbox for a defined period of time or deleted.
U
Rockwell Collins built the front-end categorization system and then partnered with Mail Attender for Notes to manage the processing. By configuring Mail Attender’s Document Management functionality, rules were created to manage and archive data based on their classifications from 18,000 mailboxes and 31 servers across the United States. Within Mail Attender, schedules have been created to archive data, perform deletion and notify users of planned deletions.
